How to set up Teams for successful remote working

Over 500,000 organisations are using Microsoft Teams as their default messaging platform, but are they making the most out of the software to enhance productivity, collaboration and security?

Teams has become a virtual office space for many businesses over the last year. In fact, 95 million users joined the platform in 2020 alone.

With everything you need in one place: messaging, email, documents, files and more, it’s become a go-to tool for remote working.

However, whether you’re already using Microsoft 365 or not, there are some things you can do to make sure the software is working with you, rather than against you.

Create a company-wide area.

This is where all the documents and files relevant to everyone in the business are kept. For example, corporate documents, policies, T&Cs, templates, timesheets, holiday forms and more.

By creating a central area for these types of files, you can save time in the long run, avoid duplication of files and make sure everyone has immediate access to the resources they need to do their job.

Create areas for each department.

While some documents need to be accessed by the whole company, many will be specific to each department or even people within those departments.

We’d recommend setting up an area for each department, whether that’s your sales team, marketing, finance, operations, or something else.

This helps you keep files organised and make sure the right people have access to the files and information.

Make use of apps in Teams.

Microsoft Teams has a library of apps that you can add to your channels to help you simplify your workflows, share data and find new ways of working smarter.

Here’s a quick summary of the apps we’d recommend:

  • Tasks by Planner – Create and assign tasks to people in your team.
  • Approvals – Share documents quickly and get approval from your colleagues.
  • Power Automate – Save time on time-consuming and repetitive tasks.
  • Bookings – Schedule meetings and appointments without going back and forth on email threads.

Are your Teams channels secure? Singularitee protects your company information, files, apps and data by controlling the way users access and share information. Setting out rules, configuring security settings and standardising security ensures devices are compliant, secure and protected.

By protecting company data in this way, businesses can make sure everything is secure and compliant and up to date, while each member of staff has the appropriate permissions and access they need to do their jobs, whether that’s from the office or the dining room table.
